Thanks Afiq for bringing this up! good agendas were brought up by the MPP in the recent AGM kudos to that. However i'd also like to highlight a few valid points that are either a byproduct of discussions of the result of the recent AGM or are raised up by various commentators on social media, focus groups and forums with respect to: 1. The 15th AGM i. Why were the Chairmans of Clubs or at least the Senators of Student Councils/Bodies not invited physically to represent the students of their respective faculties and ask questions to the officers present? ii. The access to the AGM venue whether it be online or offline is restricted, why is this so? Shouldn't the AGM be accessible to any and all general PMUBD Member? As regards to the online system, why was the link only sent to pre-registered students and not broadcasted to the whole pool of fee paying PMUBD members? Especially since AGM was supposed to be a platform for general PMUBD members to have a dialogue with the current administrative bodies. iii. The inspiring hall venue is not quite appropriate for this type of event as it is quite a limiting venue in terms of number of available seats and space. Why was an alternative space not used? Time is not a reasonable excuse. 2. Transparency & Voting integrity Afiq raised a great point already in this regard, however we would like a broadening of the definition. Could the current council lay out a blueprint on the process of transparency and integrity that they will follow to ensure these examples: i. MPP Elections Voting integrity ii. AGM Voting validity iii. How the $50/mo. stipend is spent and how it could be justified to be deemed necessary by the students. Transparency and processes are integral to run a public facing NGO and when students money is involved we should be able to know where it goes and access it freely. Some clarifications in these matters would be heavily appreciated. 3. Accessibilty of Processes & Paperwork flow Acessibilty comes in many forms and the one that we are suggesting is the accessibilty of guidelines and/or processes of fee claiming processes or other common functions that are to be expected from the current administration in place by general PMUBD members or club officials. A streamlining of this process is heavily needed as multiple clubs have reported difficulty in terms of cancellations, aquiring integral assets, and paperwork delays for project proposals. Let's have a discussion with the current administration, Student Bodies, and Clubs to brainstorm ways in which project proposal to project execution can be done in a time span of less than one week. A lofty goal but a needed one for sure. The agendas for the recent AGM were good, however the process of voting for said agendas left a lot of us unsatisfied and lacking clarity. I hope that in the future the amount of people voting and the process would be more representative of the student population and not just barely above quorum. How to engage that? Make people care and engage them in discussions and decisions made here.
I hope that my fellow students also understand the ability to call an EOGM-' Extra-Ordinary General Meeting' as a method to resolve said issues mentioned by Afiq and I, and to promote PMUBD member engagement in the administrative and economic affairs of the student union. After all at the end of the day, it is our $240 dollars collectively amassed. So lets take that decision into our own hands and make sure that PMUBD will always be; Run by students, For the students. Kindest regards, Hafiz Bahar
